A RAID item's behavior is set by its classification's Item Type — Risk, Dependency, or Other. See Managing RAID and Action Items for how each type behaves.
Creating a RAID item classification
To edit a RAID item classification, or add additional ones — including Other Items:
- Navigate to the Administration section.
- Click Classifications in the side navigation.
The Classifications option in the side navigation. - Click + Classification at the top right.
The + Classification button. - Select RAID Item as the Object Type.
Selecting RAID Item as the Object Type. - Enter a Name.
- Select a Color to represent the classification.
Naming the classification and selecting a color. - Select an Item Type. It can't be changed once the classification has been created.
- Risk — items are always rated.
- Dependency — other items can be linked to this item.
- Other — items can go through an approval workflow, such as change requests or decisions that need sign-off.
Selecting an Item Type for the classification. - For an Other item type, select the Workflow that approves its items. Each item is sent for approval when it's created. The list shows your Item Approval workflows — select None where the items don't need approval. See Item Approval in Approval Workflow Types.
- To rate the items, select Enable Rating. Rating is always on for a Risk item type.
- Choose the Rating:
- Simple — users choose the item's rating directly.
- Calculated — users choose the item's likelihood and impact, and its rating is worked out from your rating matrix.
The ratings, and the matrix, are set up for the whole instance — see Configuring Ratings.
- For a Risk or Other item type, select Allow RAID Tasks and Milestones to let tasks and milestones be created under these items.
The Allow RAID Tasks and Milestones option. - Click Create.
The Create button.
Changing the workflow
Changing an Other item type's Workflow resets the approval progress of its existing items. Where there are items already, Amplify warns you how many will be reset before you save. For creating Item Approval workflows, and setting their approvers, see Approval Workflows.
Properties tab
The Properties tab sets which custom fields RAID items of this classification have. For each field, choose whether to Include on Create, which shows it on the form when a RAID item is created. Fields not included on create can still be filled in afterwards. To stop using a custom field on this classification, select Remove Mapping… on its row. The tab is available once the classification has been created.
For creating custom fields, mapping them, and the settings that belong to the field itself, such as Required, see Custom Fields (Advanced Model).
Default classification
One RAID item classification is the default. When a user creates a new RAID item, the default is preselected on the form, where the initiative allows that classification. Where it doesn't, the first allowed classification is preselected instead.
The first RAID item classification created becomes the default automatically. To make a different one the default, open it for editing and click Make Default, under Default Classification. Only one RAID item classification can be the default, so the new default replaces the previous one.
Enabling RAID items for an initiative
To create RAID items for your initiatives, they need to be enabled for each initiative classification you want to use them on. To enable them:
- Navigate to Administration > Classifications.
- Click the initiative classification you want to enable RAID items for.
- On the General Configuration tab, scroll down to Enable Local RAID Items.
- Check Enable Local RAID Items.
The Enable Local RAID Items option. - Select the RAID item types you want to be available from Allowed RAID Classifications.
The Allowed RAID Classifications option. - Click Save at the bottom of the page.
The Save button.
Deleting a classification
Deleting a RAID item classification permanently deletes every RAID item of that classification and its data, and removes any Initiative Workbook or status report widgets that show that classification, including featured risk widgets. It can't be undone.
To delete a RAID item classification:
- Click Edit next to the classification on the Classifications page.
- Click the Advanced tab.
- Click Delete….
- Amplify lists every RAID item of this classification that will be deleted, with a link to each. Check the list before you go on.
- Confirm.
The classification is removed straight away, so no new RAID items of this type can be created. Its RAID items are then archived and deleted in the background, which can take a few minutes where there are many.
The default classification can't be deleted, and neither can the last RAID item classification.
For creating RAID items, see Managing RAID and Action Items.
