The ledger view shows the items in a register alongside their financial values over time — such as plan, actual, and forecast — with totals by quarter, financial year, and overall. It looks and works like the table view, and is also the quickest way to update values for many items.
This article covers both the Advanced and Simple Models. For the other ways to view a register, see Register Views.
Ledgers have Reporting Groups or Reporting Levels columns, which you can filter and sort by. Unlike the Table View, ledgers can't be grouped by them.
Filtering the ledger
A filter button in the toolbar — labeled with the ledger's current unit and resolution, for example US Dollar - Month — opens its filter options:
- Unit — the measurement unit to display, such as a currency or a non-financial unit like Customers or Cycle Time. Select All to show every unit at once.
- Resolution — the period each column represents: Month, Quarter, or Financial Year.
- From and To — the date range the ledger covers.
- Series — which of Baseline, Plan, Actual, and Forecast to include.
Click Apply Filter to apply your changes.
Choosing which columns show
The ledger's Settings menu controls which columns are shown, and changes depending on the selected resolution:
- At Month resolution: Display Monthly Values, Display Quarterly Totals, Display Financial Year Totals, and Display Grand Total.
- At Quarter resolution: Display Quarterly Values, Display Financial Year Totals, and Display Grand Total.
- At Financial Year resolution: Display Financial Year Values and Display Grand Total.
Bowler chart
Where at least one benefit or cost on the register has Variance turned on in its classification or cost category, the Settings menu also shows a Bowler Chart option. Turn it on to color Actual and Forecast values by how far they are from Plan — or from Budget, for costs:
- On Track (green) — within the acceptable range.
- At Risk (orange) — moving outside the acceptable range.
- Off Track (red) — well outside the acceptable range.
Hover over a colored value to see its band and its variance as a percentage. The bands, and which direction from Plan or Budget counts as good, are set by an administrator — see Configuring Benefit Classifications (Advanced Model) and Configuring Cost Categories (Advanced Model).
For what the Baseline series shows, see Baselines.
Saved views
Ledgers have their own saved views, separate from the register's card, table, and visualization views. A saved view of a ledger stores:
- which columns are shown, and their order, width, and sorting;
- column filters;
- the ledger's filter settings — Unit, Resolution, From and To, and Series;
- the Settings menu's display options, including the Bowler Chart.
For saving, sharing, and managing views, see Register Views.
