Assignment is how a project manager puts allocated people to work on the schedule's tasks. The schedule's resource histogram shows each person's workload over time, so you can see who is over- or under-used.
This article covers both the Advanced and Simple Models. For how resource management fits together, see Managing Resources.
Assigning people to tasks
Assign people to a task in its Assigned Resources, setting each person's Effort as a percentage of their overall capacity — see Managing Tasks. People allocated to the initiative's demand show as Allocated.
Opening the resource histogram
To open the histogram:
- Navigate to the project, then to Tools > Schedule.
- Click the histogram button in the schedule's toolbar.
For the rest of the schedule, see Schedules.
What the histogram shows
- Every person assigned to tasks on the schedule, grouped by resource type.
- For each resource type with demand on the project, the demand's approval status. Click it to open the demand.
- Whether each person has been allocated to the project's demand by the resource manager.
- A chart of each person's workload in each period:
- Assignment — the effort they're assigned on tasks.
- Capacity — what that's compared against: their overall capacity, or their allocation to the project, depending on your organization's settings.
Approval and allocation status aren't shown on schedules that roll up several projects.
Histogram settings
Two settings, set for your organization, affect the histogram:
- Capacity calculation method — compare assignment against each person's overall capacity, the default, or against their allocation to the project's demand.
- Standard working week — the hours in a full-time week, such as 40. It's used to turn capacity in FTE into hours. For example, assigning a full-time person to a week-long task at 100% effort assigns them 40 hours.
