Initiatives normally move from stage to stage by having each gate approved. Sometimes an initiative needs to move outside that process — skipping ahead to a later stage, such as when bringing existing work into Amplify, or going back to an earlier one, such as when a stage was approved too early. This article covers both.
This article covers both the Advanced and Simple Models. For moving through the stages in the usual way, see Stage Gate Process.
Advancing an initiative to a later stage
Advancing is done from the Stage Gate Configuration page, so only administrators can do it — in the Simple Model, program administrators. To advance an initiative:
- Open the Stage Gate Configuration page — under Administration > Stage Gate Process in the Advanced Model, or the program's Configuration > Stage Gate Process in the Simple Model.
- Click Advance.
- Search for the initiative, and choose the Desired Stage.
- Add any Comments, and confirm.
Advancing only moves an initiative forward, and only to the process's main stages, not to an end stage. Any pending approval is cancelled. Each gate skipped is recorded as approved, with your comments, on the initiative's Timeline.
Moving an initiative back to an earlier stage
An initiative can be moved back from its Properties page — to an earlier stage, or to the first stage to start the process again. Choosing the current stage restarts just that stage. This works at any point in the process, including while a stage is pending approval, and once the process is complete.
The option is only shown to the initiative's owner, Full Admins, and users with an Admin Role that has Hierarchy set to Full. To move the initiative:
-
On the initiative's Properties page, find Move [initiative] to stage.
The Move to stage option. -
Select the stage to move to — an earlier stage, or the current stage to restart it.
Selecting the stage to move back to. - Click Move, and confirm.
What moving back resets
Moving back resets every stage from the one you move to, up to and including the current stage:
- Any pending approval is cancelled.
- Stage gate baselines taken at those stages are deleted. Those stages no longer show a snapshot on the Initiative Workbook.
- Supporting documents are detached from those stages. The documents stay on the initiative's Documents page.
- Checklist items for those stages are unchecked.
- Where you move back to, or before, the stage set in Lock Plan & Budget Values, the initiative's benefit plans, measure plans, and cost budgets are unlocked.
Stage gate baselines deleted by moving back can't be recovered. The initiative's other data, such as its benefits, costs, and documents, isn't changed, and its earlier stage history stays on its Timeline.
For setting up the stages themselves, see Configuring the Stage Gate Process.
