The board view shows items as cards in columns, so you can see where work stands at a glance and move it along by dragging cards. It's available on the Tasks page, as the Task Board.
This article covers both the Advanced and Simple Models. The Task Board needs to be enabled first — see Configuring Initiative Classifications (Advanced Model) or Configuring the Task Board (Simple Model).
Opening the board
To open the board:
- Navigate to the initiative or project.
- Navigate to Tools > Tasks.
- Click the board button at the left of the toolbar to switch from the table to the board.
The board opens on a view named Board, which uses the Task Board columns set up for the initiative's classification or the program.
Arranging the board
Use the toolbar to choose how cards are laid out. Switching between arrangements doesn't change the tasks themselves.
- Column by — what each column represents: Status, Priority, or Owner. Choose Month, Quarter, or Financial Year to put tasks in columns by when they're due. The default is Status, using the board's columns.
- Swimlanes — splits the board into rows by Status, Priority, or Owner. Choose None for a single row.
- Sort by — the order of cards within each column: Name, Status, Priority, or End Date.
- Colour by — the color bar on each card: Priority, or a Traffic Light custom field.
Custom fields set up for tasks can also be used for Column by, Swimlanes, and Sort by, where they're Select Box, Radio Group, or Traffic Light fields.
To collapse a column, click the arrow in its header.
Filtering the board
To filter the board:
- Click the filter button at the right of the toolbar. The Filter Tasks panel opens.
- Filter by any of:
- Name, Initiative, or Owner — type part of the name.
- Assigned Resources — choose one or more people.
- Scheduled — Scheduled or Unscheduled tasks, depending on whether Apply Task Dates is on for the task.
- Priority or Tags — choose one or more values.
- Custom fields that are Select Box, Radio Group, Traffic Light, Multi-Select box, or Amplify User Multi-Select fields.
Click Clear Filters to show every task again.
Working with tasks on the board
- Move a task — drag its card to another column. The task's value for that column, such as its status or owner, changes to match. Where the board is arranged by Month, Quarter, or Financial Year, cards can't be dragged between columns — change the task's due date instead.
- Open a task — click its card. The Edit Task side sheet opens. Change its fields and click Save, or click the delete button at the top right to delete it.
- Create a task — click New Task. The Create Task side sheet opens.
For the task's fields, see Managing Tasks.
Saved views
A saved view stores how the board is arranged — its Column by, Swimlanes, Sort by, Filter by, and Colour by settings — so you can switch between different ways of reading the same tasks without setting the board up each time. A view stores which field it sorts by, but not the direction; after applying a view, you may need to set ascending or descending order again.
Selecting a view
To select a view:
- Open the view selector in the toolbar. Shared views are listed first, marked with a globe icon, followed by your private views.
- Select a view. The board reloads with that view's settings.
If a view can't be fully restored — for example, because a field it uses is no longer available — the board falls back to its default arrangement, and a message tells you.
Creating a view
To create a view:
- Arrange the board as you want it.
- Open the menu on the toolbar's save button.
- Select Create as new View.
- Enter a Name.
- Set Visibility to Private or Shared. Only administrators can change this; for everyone else, new views are private.
- Set Available For:
- All Initiative Classifications — the view is offered on every initiative's board.
- Select Initiative Classifications — the view is only offered on initiatives of the classifications you choose. The list shows every active classification with the Task Board enabled, starting with the one you're working in.
- Save the view. It becomes the view you're looking at.
Changing a view
- Save changes — adjust the board, then click the save button. The view is updated, rather than a copy created.
- Edit View — rename the view, or change its visibility or classifications.
- Revert changes to View — returns the board to the view's last saved arrangement.
- Delete View — deletes the view. Anyone using it moves to the default view. The only shared view on a board can't be deleted.
Users with read-only access to tasks can still arrange the board for themselves, and create, edit, and delete their own private views.
The Board view
The Board view is provided with the board, and works differently from views you create. Only administrators can edit it, and it can't be deleted while it's the only shared view on the board.
Administrators manage all shared views, including board views, under Administration > User Views — see User Views. For the other ways to view a register, see Register Views.
