Downloadable reports are formatted report files, such as PDFs and Excel workbooks, built from an initiative's data — for example, a benefit profile for each benefit, or a status summary of every project in a program. They're downloaded from Tools > Reports on an initiative's side menu. A quick print report can also be downloaded in one click, from the top of an initiative or benefit.
This article covers both the Advanced and Simple Models. Which reports are available is set up by an administrator for each classification, or each program and project type — see Configuring Downloadable Reports. Downloading reports needs the Reports permission in your team role.
What reports are available
Each organization has its own reports, so the reports offered depend on how yours is set up, and can differ between initiative classifications or project types. Typical reports include benefit profiles, benefit and initiative status reports, and registers of benefits or RAID items.
A report is run for the initiative it's downloaded from, and, for most reports, the initiatives beneath it. In the Simple Model, where the program is filtered to a reporting group, the report covers that reporting group.
Downloading a report
The Reports page lists each available report, in alphabetical order, with a description of what it contains. To download a report:
- On the initiative, open Tools > Reports.
- Find the report.
- Click its download button, such as Download PDF. The report opens in a new tab, in its default format.
To download it in another format, click the arrow beside the download button, and choose the format, such as Download Excel or Download Word. The formats offered depend on the report.
Downloading a report with options
Some reports need choices made before they're run, such as whether to include closed RAID items. These show Configure in place of a download button. To download one:
- Click Configure on the report. A window opens, with the report's options.
- Choose each option. Some options update the choices offered in others.
- Click the download button, or the arrow beside it to choose another format. The report opens in a new tab.
Where a required option is missing, it's outlined in red, and the report isn't run.
Quick print reports
A quick print report is one report set up to download in a single click, without opening the Reports page:
- On an initiative — click the report icon at the top right of the initiative's page.
- On a benefit — click the report icon at the top right of the benefit's page.
Hover over the icon to see the report's name. The report opens in a new tab, for the initiative or benefit you're on. Where no quick print report is set up, the icon isn't shown.
When a report can't be downloaded
A report marked Not deployed hasn't been made ready to run yet, and its download button is turned off. Where a report is missing, isn't deployed, or doesn't run, contact your administrator.
The Reports page and the quick print icons are only shown on active initiatives and benefits.
For setting up reports, and choosing which are available, see Configuring Downloadable Reports.
