Amplify Advantage customers will have the capability to create and manage Timesheet Groups (eg. Finance Team) under the Enterprise. This will allow Timesheet Group Owners to request, review and approve timesheets from their team on a weekly period.
To access 'Manage Timesheets':
- Navigate to the Enterprise initiative
- Select Teams & Roles in the menu
- Click on Manage Timesheets
Alternatively, Timesheet Group Owners can also manage timesheets by:
- Navigating to My Dashboard
- Select My Timesheets in the menu
The Manage Timesheets page allows you to perform the following actions:
- Create a new Timesheet Group
- Edit existing Timesheet Groups
- View Timesheet Periods
- Review (and optionally approve) submitted timesheets
Create new Timesheet Group
A Timesheet Group is a collection of users required to submit timesheets for a given period.
Creating a new timesheet group allows you to define the name of the group and the start date of the first weekly period. Amplify will automatically generate the creation of future periods for following weeks.
You can then filter and select from a list of eligible users that you wish to submit timesheets.
Finally, the Timesheet Group Owner can be assigned. If the Approval Workflow is enabled, the Timesheet Group Owner will be the sole approver responsible for reviewing and approving individual timesheets.
Note: a user required to submit a timesheet is not able to be assigned as the owner.
Editing Timesheet Groups
The following can be edited under Timesheet Groups:
- Timesheet Group Name
- Period Start Date
- The creation of future periods can be paused using the 'Schedule Periods' toggle.
- The start date of future periods can be amended by selecting a new date. The current period remains unaffected by this change.
- Users
- Add or remove users to/from the current period (and upcoming periods). Previous periods will remain unaffected by this change.
- Timesheet Group Owner
- Changing the Timesheet Group Owner will reassign the ownership of the current (and upcoming periods). Previous periods will still be attributed to the original owner.
- Approval Workflow
- Enabling/Disabling the approval workflow will apply to future periods. The current and previous periods will remain unaffected by this change.
View Timesheet Periods
Under the Timesheet Group you can view each weekly period and the status of each user's timesheet.
Email notification reminders can be send to users who have not submitted their timesheet for the period. This extends to timesheets with a status of:
- Not Submitted
- Overdue
- Rejected (if the Approval Workflow is enabled)
Review Submitted Timesheets
You can review timesheets for individual users to see which specific initiatives they have logged time against for a given period.
If the Approval Workflow is enabled, Timesheet Group Owners have the ability to approve or reject and provide feedback on a user's timesheet.
