The Kanban board can be viewed in two modes. These are column progress and owner views. You can switch views at any time, switching the view does not affect any of the tasks or the configuration.
You can toggle between the views using the tool on the toolbar. Its appearance will change depending on which view you are in.
| Column Progress view | Owner view |
Column Progress view
This is the default view for your Kanban board. Each column on the board represents a sequence of progression from left to right.
This view is most useful for changing the progress status of a task quickly. Simply click and drag a task to another column to update the progress status.
Owner view
The owner view places an emphasis on resource oversight. Each column represents a potential task owner for the current project.
This view is most useful for identifying workloads and redistributing tasks amongst owners quickly. This view helps identify owners who may be over- or under-utilised based on their amount of tasks and how far they've progressed.
Each task in this view is colour coded to match the column progress types so no information is lost.
Saved Views on the Task Board
๐งช Beta. Saved views are part of the Task Board, which is enabled per organisation. Contact your Customer Success representative to have it turned on.
Reach the board from Tools > Tasks, then use the board button at the left of the toolbar to switch from the table to the board.
On the Task Board, the arrangement of the board is held in a saved view. A view stores the board's Column by, Swimlanes, Sort by, Filter by and Colour by settings, so you can move between different ways of reading the same tasks without rebuilding the board each time.
A view stores the field you sort by, but not the sort direction. After applying a view you may need to set ascending or descending order again.
The board opens on a view named Board, which is provided with the board and uses the Kanban columns configured against the initiative classification.
Selecting a view
- Open the view selector in the board toolbar.
- Views are listed with shared views first, then your private views, sorted alphanumerically within each group. Shared views carry a globe icon.
- Select a view. The board reloads with that view's Column by, Swimlanes, Sort by, Filter by and Colour by settings applied.
If a saved view cannot be fully restored โ for example where a field it relies on is no longer available โ the board falls back to its default configuration and displays a message telling you the view could not be fully restored.
Creating a view
- Arrange the board as you want it โ set Column by, Swimlanes, Filter by and Sort by.
- Open the view options menu on the toolbar's split button and choose Create as new View.
- Enter a Name. This is required.
- Set Visibility to Private or Shared. Only an administrator can set or change visibility; for everyone else the field is not editable and the view is private.
- Set Available For to either All Initiative Classifications or Select Initiative Classifications. Choosing the latter reveals a multi-select listing every active initiative classification that has Kanban allowed, whatever its type, pre-filled with the classification you are working in. Initiatives outside the selected classifications will not be offered the view.
- Save. The view is created with the current board arrangement and becomes the view you are looking at.
Saving changes to a view
With a view selected, adjust Column by, Swimlanes, Filter by or Sort by, then use the save action on the toolbar's split button. The view's stored arrangement is updated in place rather than a duplicate being created. To rename a view or change its visibility or scoping, choose Edit View from the same menu.
Discarding unsaved changes
Choose Revert changes to View to return the board to the last saved state of the view you are on.
Deleting a view
Choose Delete View from the view options menu and confirm. Anyone who had that view selected falls back to the default view. A view cannot be removed while it is the only shared view on the board; the deletion is refused when you confirm it.
๐งช Note if your access to Tasks on the initiative is read-only, you can still rearrange the board for your own session and create, edit and delete your own private views.
The provided Board view behaves differently from views you create. If you are not an administrator, Edit View and Delete View are not available on it at all. Administrators are offered both: editing succeeds, but deleting is refused when you confirm it, for as long as Board remains the only shared view on that board.
