The Teams & Roles Page
💡 This means team roles, shared teams and admin roles each have their own tab rather than sharing a single long page.
Administration > Teams & Roles is arranged as three tabs:
- Team Roles — the roles that determine what members of an initiative team can do. This is the tab the page opens on.
- Shared Teams — teams that can be attached to more than one initiative.
- Admin Roles — roles granting access to areas of Administration. This tab is visible to Full Admins only. See Admin Roles.
Each tab lists its records in a table with the role permissions shown as columns, and has its own search box covering the names on that tab. On the Team Roles tab, Full Admins can edit permission values directly in the table; for all other users the values are read-only. On the Shared Teams tab the values are read-only for everyone, and the table includes a Classification column.
Records are created and edited in a side sheet rather than on a separate page. Use + Create New Team Role or + Create New Shared Team to open a blank side sheet, and the pencil icon on a row to open an existing record. Deleting is done with the trash icon, and on the Shared Teams side sheet archiving, restoring and deleting are icons. An archived shared team displays in a read-only state. The rules governing when each of these actions is available are unchanged.
This arrangement applies to the Classic model.
Users can be added to the team of an initiative and the team of a benefit through the Team sub-menu. Before setting up teams, you must create roles with specific permissions to be assigned to different team members. It is possible to create specific custom roles and configure the access permissions for the role.
To create a new role:
- Click on Team & Roles.
- Click on Create a New Role.
- Name the role and use the options below, select the permissions.
-
Cascade Permissions, if set, will ensure that the permissions are cascaded from the current level to the lower levels. If the role with cascade permissions is assigned to a user in the program team, then the user is granted the same access permissions to the projects, benefits, RAID, measures and all the rest of the components within the program.
It is also possible to adjust these permissions when adding a Team Member.
If you disable Cascade Permissions the role will have access only to the initiative and its direct benefits, RAID, or other components.
-
- Click on Save when done.
You can edit an existing team role by clicking on the Edit button next to a team role. Click on the Delete Role button in the edit team role page to delete a role. A role can only be deleted if it is not in use.
