Initiative Submissions lets people suggest new initiatives through a short form, without needing access to the rest of Amplify. Each submission is created as an initiative in a place you choose, such as a central ideas initiative, or one for each business unit, where it can be reviewed before it goes ahead. This article covers choosing where submissions are created, and sharing the form. For submitting an initiative, see Initiative Submissions.
This article covers both the Advanced and Simple Models, and needs administrator access.
Turning on Initiative Submissions
Initiative Submissions is turned on for your organization by your Customer Success Manager. Once it's on, both standard users and guest users can submit initiatives.
Choosing where submissions are created
Each submission is created under an existing initiative you choose — in the Simple Model, a program. Choose one for a single, central place for every submission, or one in each business unit or program, so each reviews its own.
To choose where submissions are created:
- Find the ID of each initiative, or program, you want submissions created under.
- Navigate to Administration > Site Settings.
-
In Initiative Submissions Parent ID, enter the IDs, separated by commas.
The Initiative Submissions Parent ID setting. - Save your changes.
An initiative is only offered where it's active, isn't confidential, and isn't a project. Where there are several, they're listed by name under Submit Under on the form. Where none of them can be used, the form can't be opened.
Choosing the initiative types
The Type list on the form offers the kinds of initiative that can be created where the submission is going:
- Advanced Model — the initiative classifications in Allowed Initiative Classifications, on the classification of the initiative submissions are created under. Add the classification you want submissions created as there — see Configuring Initiative Classifications (Advanced Model). Where submissions are created under the enterprise itself, program and project classifications aren't offered.
- Simple Model — every project type in the program. There's nothing more to set up, but the program needs at least one project type — see Configuring Project Classifications (Simple Model). The form also asks for the program's reporting groups.
In the Advanced Model, create submissions as the same initiative classification as your projects. That way, a submission that's accepted can be moved to where it belongs, and carried on as a project, without changing its type.
What a submission contains
The form asks for the submission's name, and any custom fields its type includes on create. The rest is filled in for the person submitting:
- Owner — the owner of the initiative, or program, it's submitted to.
- Start date — the first day of the month it's submitted in.
- End date — the last day of the month it's submitted in.
Sharing the form
Share the form's link with the people you'd like to submit initiatives, using your organization's Amplify address:
https://your-instance.amplify-now.com/guests/initiative_submission
To send every submission from a link to one place, add that initiative's ID to the end of the link. The form then has no Submit Under field, so the place can't be changed:
https://your-instance.amplify-now.com/guests/initiative_submission?parent_id=ID
The ID must be one of those in Initiative Submissions Parent ID. Any other ID shows a page that can't be found.
Letting people without Amplify access submit
People who only need to submit initiatives can be set up as guest users, who see only the form and don't use a license. Guest users can be marked in your identity provider, or created automatically when they first open the form's link. See Guest Users.
Turning Initiative Submissions off signs guest users out as soon as they sign in, with a message that submissions are closed.
For submitting an initiative, see Initiative Submissions.
